We have relocated onsite to prepare for the Conference. If you would like to register for the Conference please complete the registration form below and register on-site.

The Registration Desk will be located at The Grand Waldorf lobby of the Sebel Albert Park.

Delegate Entitlements

Conference Registration

The Conference Registration fee entitles delegates to the following:
•  Access to all Conference sessions
•  Conference documentation including book of abstracts
•  1 ticket to attend the Conference Welcome Reception
•  Morning, afternoon teas and lunch on all days of the Conference
•  Access to the trade exhibition and poster display
•  Conference satchel
•  1 ticket to attend the Conference Dinner

Student Registration
Full time students are eligible for a discounted Conference registration. Students need to be a full time student and provide the name of their institution. Student ID may be requested at anytime. If no ID is provided when requested the full registration fee will apply ($800).
Student Registration entitlements are as per those listed under Conference Registration above.

Day Registration
The Day Registration fee entitles delegates to the following:
•  Access to all Conference sessions on chosen day of the Conference
•  Conference documentation including book of abstracts
•  Morning, afternoon teas and lunch on chosen day of the Conference
•  Access to the trade exhibition and poster display on the chosen day of the Conference
•  Conference satchel

Social Program
The following events are included in the Conference Registration and the Student Registration fee (not applicable for Day Registration).

Welcome Reception - Wednesday 25th June 2008
Location: The Sebel Albert Park
Additional tickets: $46.00

Conference Dinner - Thursday 26th June 2008
Location: Melbourne Aquarium
Additional tickets: $150.00

The Conference Dinner in the Coral Atoll at The Melbourne Aquarium offers guests the opportunity to experience the wonders of dining on a sumptuous three course meal and enjoying fine Australian wines whilst surrounded by the Great Barrier Reef!

Emeritus Prof Peter Darvall will present his keynote address at the Conference Dinner.

Important Information

Entrance to Conference
Each delegate of the Conference will receive a name badge on registration. The badge will be your official pass and must be worn to obtain entry to all sessions and to social functions.

Students
To receive discounted registrations, students need to be a full time student and provide the name of their institution. Without providing student identification upon request the full registration fee will be charged ($750).

PAYMENT OF FEES

Within Australia
NOTE:  Registrations will not be processed or confirmed until payment in full is received.

Payment may be made by cheque or credit card. MasterCard, Visa, Diners and American Express the only credit cards accepted by ASEC 2008. Please note all transactions by credit card will appear on your statement as payment to “The Meeting Planners”.

Cheques should be made payable to ASEC 2008. Your name and full address should be typed or printed clearly on the back of the cheque. Cheque payments from overseas must be a bank cheque in Australian Dollars drawn on an Australian Bank. No other currency will be accepted.

You may not pay your fees by direct transfer.

International
Payments from overseas must be made by credit card or bank cheque in Australian Dollars only, drawn on an Australian Bank. Your name and full address should be typed or printed clearly on the back of the cheque. You may not pay your fees by direct transfer.

Acknowledgements
Your registration and payment will be acknowledged via email or post with confirmation of your requirements according to your registration form. Your registration will not be processed or confirmed if payment does not accompany your form.

You will not receive any further publications before the Conference. Your letter of acknowledgment will include any further advice necessary prior to your arrival at the Conference.

Cancellation and Refund Policy

Registration Fees:
•  Before 25th March 2008 will incur an A$100.00 cancellation fee.
•  Before 11th May 2008 will receive a 50% refund of fees paid.
•  After 11th May 2008 there will be no refund.

Transfer of your registration to another person is acceptable. The full name and details of the person that will replace you must be advised in writing to the Conference Office prior to the Conference. No refunds will be made for non-attendance at the Conference.

Accommodation:
•  One nights deposit or credit card details are required at time of booking to guarantee reservation.
•  Deposit is non-refundable at 26th May 2008.

Social:
•  Payments are non-refundable after 25th May 2008.

Accommodation

Deposit
Rooms are being held by the Conference Managers on behalf of the delegates until 26th May 2008. All hotel accommodation bookings must be accompanied by a minimum of one night's room rate in order to secure a reservation. The Conference Managers will accept accommodation deposits up until 26th May 2008 and will settle the deposit with the hotel. Delegates must settle the balance of their account with the hotel concerned upon check out.

Late bookings can be made through the Conference Managers after 26th May 2008 however these will be subject to availability and credit card details are required to secure the reservation. One night's room rate will be deducted from the supplied card, by the hotel, if the reservation is cancelled or the delegate fails to arrive on the specified date.

How to Book Accommodation
To book, complete either the Online Registration Form or Registration Form attached to this brochure. The Conference Managers will forward your contact details, reservation and deposit or credit card details to the hotel of your choice.

Change of Accommodation Booking
Any change to a hotel reservation must be notified to the Conference Managers and not directly to the hotel. Please note that any changes should be made to the Conference Managers by 9th June 2008.

Late Arrivals
Please indicate on your registration form or notify the Conference Managers in writing if you will arrive at your hotel after 1800 hours, failure to do so may mean that your room may be released.

Arrival Time
Many international flights arrive into Australia in the early morning. Hotel check-in time is usually 1500 hours. If you are to arrive before this time it is probable that you will not be able to gain access to your room. To guarantee a room to be available for an early arrival you will need to pre-register and pay for your room for the previous night. If required please indicate on your registration form.

Accommodation Refunds
The deposit is non-refundable at 26th May 2008 and will be forfeited if you do not arrive on the date for which you have booked. Cancellations must be made in writing.

PRIVATE FUNCTIONS
It is requested that you advise the Conference Managers of any private /corporate functions that might be planned outside of the official program. The Conference Managers would be pleased to assist with arrangements for any of these events.

PRIVATE TOURING/HOSPITALITY ARRANGEMENTS
Should you have any specialised group requirements for private touring, transportation or hospitality services other than those organised for the official program, please contact the Conference Manager who would be pleased to assist with arrangements.

INTERNATIONAL DELEGATE VISA INFORMATION

Quarantine
Australia is free from many plant and animal diseases prevalent in other countries. Very strict quarantine rules apply to the import of animals and plants, which cannot be brought into the country without prior application. Animal and plant products are also restricted.

Visa Information
Please note that all travellers to Australia must have a valid visa before boarding their plane. Travellers to Australia cannot apply for a visa on arrival, with the exception of New Zealand passport holders, who will be visaed on arrival in Australia .

All international event participants, (other than New Zealander passport holders) should review the following information carefully. There are currently two possible visa options for adult event participants and the appropriate visa to apply for will depend on their country of passport.

IMPORTANT: It is the policy of the Conference office NOT to supply an invitation letter to unpaid or unregistered delegates as it is NOT required and does NOT assist in the visa application process.

ACKNOWLEDGMENTS
Your registration and payment will be acknowledged via email or post with confirmation of your requirements according to your registration form. Your registration will not be processed or confirmed if payment does not accompany your form.

INSURANCE
Registration fees do not include insurance of any kind. It is strongly recommended that at the time you register for the Conference and book your travel you take out an insurance policy of your choice. The policy should include loss of fees/deposit through cancellation of your participation in the Conference, or through cancellation of the Conference, loss of international/domestic air fares through cancellation for any reason, loss of tour monies through cancellation for any reason including airline or related services strikes within Australia, failure to utilise tours or pre booked arrangements due to airline delay, Force Majeure or any other reason, medical expenses (including sickness and accident cover), loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The Conference Managers cannot take any responsibility for any participant failing to arrange their own insurance. This insurance is to be purchased in your country of origin.

PRIVACY
Australia introduced the Privacy Amendment (Private Sector) Act 2000 in 2001. The Conference Managers comply with such legislation which is designed to protect the right of the individual to privacy of their information. Information collected in respect of proposed participation in any aspect of the Conference will be only used for the purposes of planning and conduct of the Conference and may also be provided to the organising body or to organisers of future events. It is also usual to produce a ‘Delegate List' of attendees at the Conference and to include the individual's details in such a list. Consent for publication of the individual's information may be withheld when completing the Registration Form for the Conference. Individuals are also entitled to access the information held by written application to the Conference Managers.
